If you have new employees starting work this month, the UNC Card Office, Information Management and Technology and Facilities Management offer the following suggestions to help make the process go smoothly:
UNC ID Card
Before you have a new employee go to the UNC Card Office to have their photograph taken for a UNC card, send their name in an email to card.office@unco.edu to get them entered into the card system.
If you're sending the email securely, also include the employee's Bear Number; otherwise, just include their name, and remind them to bring their Bear Number to the Card Office in case it isn't in the card system yet.
An employee's first and last name on his or her UNC ID card must match the first and last name that's used in Banner. To use a different name on his or her ID card, an employee must first work with Human Resources before requesting the name change at the Card Office.
Sending the email in advance facilitates quick and prompt service to new employees.
The Card Office is open 7:30 a.m.-4:30 p.m. Monday-Thursday, and 7:30 a.m.-3:30 p.m. on Friday. For more information or questions, call 970-351-2821.
Technology Resources: New Accounts
The process for getting new faculty/staff 'first.last name' accounts has changed.
New faculty and staff accounts are automatically created 24 hours after Human Resources has entered the required information to mark the new employee as active in Banner.
Please note that the process for student employees and graduate and teacher assistants has not changed, and the full account creation must be requested from the IM&T Support Portal.
Additional details for faculty and staff accounts
Once the new faculty/staff account has been active in Banner for 24 hours, the new employee should visit Ursa to activate their new account. By default, they will have access to Ursa, email and Canvas. If the new faculty or staff needs additional access (department shares, distribution lists, etc.) a "New Employee Additional Access Request" will need to submitted.
Where to request additional access
All additional access requests must be submitted through the IM&T Support Portal. Use the search bar to type “Additional Access," and select the service request option,“New Employee Additional Access Request.”
Additional details for SEMP, graduate and teacher assistant accounts
All student employee and GA/TA 'first.last name' accounts, regardless of role, must be requested through the IM&T Support Portal. Please note that all accounts will be deactivated when the individual no longer works with UNC.
When and where to request a new account
It is recommended that accounts are requested prior to the employee’s start date. Accounts are typically created within two business days from when the request is received except for high-volume times (start of semesters).
All new account requests can be submitted through the IM&T Support Portal. Use the search bar to type “New Account,” and select the service request option called, “New Account Request (GA, TA, SEMP)”.
Building and Room Access
Access to campus buildings and rooms is provided by the Facilities Management Service Center in Parsons Hall (501 20th St. in Greeley). A UNC ID card, issued by the UNC card office, is required to receive card access.
To obtain card access, complete and submit a Key Request Form and a photocopy of the employee's UNC ID Card to the Service Center in person or via campus mail to box 57. The request card must be signed by the employee and an authorized signer.
To obtain a physical key, bring a Key Request Form, signed by an authorized signer, to the Service Center. Only the individual authorized by the key request card may pick up a key. Photo identification will need to be presented when picking up keys.
